Role Overview
We are seeking a highly motivated and detail-oriented Purchase & Tender Documentation Specialist to join our team at Automios Technologies Pvt Ltd. The ideal candidate will manage end-to-end purchase operations and oversee tendering processes to ensure compliance, efficiency, and timely submissions. This role is critical to maintaining our business’s procurement efficiency and successful participation in tenders.
Key Responsibilities
1. Purchase Management
- Identify and engage with vendors and suppliers for the procurement of goods and services.
- Negotiate terms, pricing, and delivery schedules to achieve cost efficiencies.
- Ensure procurement aligns with the company’s policies, project requirements, and budget constraints.
- Maintain and manage vendor relationships, including evaluating performance and compliance with agreements.
- Oversee inventory management and maintain records for stock purchases.
2. Tender Documentation
- Identify tender opportunities from government and private sectors.
- Prepare, review, and submit tender documents, ensuring compliance with all terms and conditions.
- Coordinate with various departments to gather technical and commercial information required for tender submission.
- Maintain a database of tenders, proposals, and related documentation for future reference.
- Manage tender portals and track deadlines to ensure timely submissions.
3. Compliance and Reporting
- Ensure adherence to statutory and regulatory requirements for both purchases and tender processes.
- Prepare detailed procurement and tender reports for internal reviews.
- Handle audit-related activities for procurement and tender documentation.
4. Process Improvement
- Develop and implement best practices for procurement and tender processes.
- Identify areas for cost savings, process optimization, and risk mitigation.
Qualifications & Skills
Education
- Bachelor’s degree in Engineering, Business Administration, Supply Chain Management, or a related field.
- MBA or equivalent postgraduate qualification is a plus.
Experience
- Minimum of 2 years of experience in purchase management, tender documentation, or a similar role.
- Experience working with government tenders and e-procurement portals is highly desirable.
Technical Skills
- Strong understanding of procurement practices, tender processes, and contract management.
- Proficient in MS Office (Excel, Word, PowerPoint) and ERP systems.
- Familiarity with tender portals like GEM, eProcurement, and other relevant platforms.
